Note Before You Begin:
- Promo codes apply only to Event Spaces, Sponsorship, and Advertisement subtotal; they are not applied towards add-ons or the application fee.
- Once a promo code is created and deleted, it cannot be added back with the same name since it's saved in the database.
- Promo code names must be unique, and it's recommended to include the event name abbreviation and year for differentiation (example: EHROCKS2027)
- Promo codes are case sensitive, and spaces should be avoided for user-friendliness.
- The flat rate entered is the amount discounted from the subtotal.
- Start and end dates for promo codes are optional, but if added, they cannot be changed later.
- Promo code creation is restricted to users at the Sub User Coordinator level.
Click on Access Orders Dashboard in the event you would like to create promo codes
To add a promo code to your event, your Registration Page must first be active. Once active, you will be able to add promo codes from the Promo Codes tab of your Orders Dashboard.
Once in the Promo Code Section, select the blue "Add Promo Code" button.
Promo Code Name
You can pick any combination of letters and numbers as your promo code name, but do NOT use any spaces to avoid confusion. Keep in mind that most exhibitors will copy/paste the code from an email, and spaces can make the code a bit ambiguous.
Add your promo code name to the Promo Code field. Reminder: it must be unique across all of EventHub, so don't use any generic codes like 15Off.
Code Types
You have the choice between a percentage-based or a flat-rate discount promo code.
Percentage-Based Discount
A percentage-based discount takes a specified percent off the price of all booths/sponsorships in the order.
Select % Off from the Promo Type dropdown to select this type of discount, then add the desired percent to the blank field to the right of the dropdown. In the example, it will be 15% off.
Flat-Rate Discount
A flat-rate discount takes a specified dollar amount off the total price of the order.
Select Flat Rate from the Promo Type dropdown to select this type of discount, then add the desired dollar amount to the blank field to the right of the dropdown.
- Note - The dollar amount you add will be the amount taken off the order (the discount amount). In the screenshot below, $200 will be taken off of the order total.
One-Time Use
If you would like your exhibitors to only use the discount code on a single order, you can check the box next to "Use once per user".
Duration
You can enable a Start/End Date for your promo code. To enable this feature, simply pick a start and end date by clicking in the field.
A pop-up calendar will appear where you can select the date for that field. To clear a selected date, click Clear at the bottom of the pop-up.
If you do not wish to have a start or end date for your promo, leave these fields blank. Reminder: You can always delete the promo code to make it end, instead of setting an end date. This method is recommended, since you cannot change the dates once the code is created.
Once you have filled in the fields above according to your preference, click Save to add the code to your event.
Managing Your Promo Codes
A list of Active promo codes for your event will be listed in the Active section. These codes are currently live and valid.
If you decide you would like to delete a promo code, click the red trash can next to the code you would like to delete.
Deleted codes will appear in the Deleted section. Note: only codes deleted after April 15, 2026 will be visible in the deleted section.
