This article will detail how to batch message vendors with event logistical info for your event.
- To begin, log in to your EventHub account, click on your name on the top right and select 'My EventHub.'
- Next, select the 'Access Order Dashboard' button for the event which you wish to batch message.
- You will be taken to your Orders Dashboard page.
- You can easily filter your submissions by using the category filter or any of the other built-in filters select-able in the filters panel of your Orders Dashboard. That way if you just want to message all your food vendors, or only those still pending payments, you can easily apply the filter and just select all the results. Learn more about using filters in this help article.
- After you have selected the filters you'd like to use (if any), you can scroll down to where the list of your submissions begins. Quick Tip: quickly reference your applied filters in the blue filters bar that appears above your orders (see screenshot below as an example).
- Select the checkbox in the top left corner for all the vendors which you wish to message. If you want to message all vendors currently displayed in the list, click the 'Select All' box in the header bar for the orders section. Note: you can see the count for all the orders selected in the top of the orders bar, too.
- After you have selected the vendors you wish to batch message, click on the Bulk Action button.
-
Then select 'Compose Message'.
- From here a message box will pop up. Include a subject at the top and write out your message.
- If you wish to batch send logistics info, select the 'Insert Logistics Info' button. Your message will pull through all unique logistics info for you to send to your selected vendors. Learn how to bulk update your logistics here.
- If there are any pieces of logistic information you don't wish to share, you can delete that line from the email (for example booth space, if you don't want to share it yet).
- You are also able to insert your signature if you have set one up with the "insert signature" button.
- Be sure to customize the message as much as possible. See below for some useful tips:
- Include your Event Name in the Subject (they may have other events using EventHub)
- Give them a reason to open the message in the subject - for example, Booth # included, deadline [DATE], etc.
- Be sure to add an introduction before the automatic logistics and sign off at the end so they know who it's from!
- Add any additional logistics info you want everyone in the message to know, including attaching any useful documents or linking to your interactive map.
- If there are any pieces of logistic information you don't wish to share, you can delete that line from the email (for example booth space, if you don't want to share it yet).
- Select the 'Send' button to send out your message or logistics info to all your selected vendors.
- You can access these messages by clicking on the envelope in the top right of your account to access "My Messages." Then go to the Sent folder.
