Bulk Email Status
Track the progress of every bulk email sent from your Orders Dashboard. The Bulk Email Status page provides real-time visibility into queued, processing, completed, and failed email batches, allowing you to monitor delivery progress, verify completion, and troubleshoot any issues if needed.

Accessing Bulk Email Status
- Log into your EventHub Organizer account.
- Open the event you want to manage by clicking Access Orders Dashboard.
- From the left navigation menu, click Bulk Email Status.
Navigating the Bulk Email Status Page
This page displays the status for every bulk email sent for the selected event.
Filter by Event
At the top of the page is the Filter by Event dropdown.
Use this dropdown to switch between events and view the bulk email history for a different event.
Only bulk emails associated with the selected event will be displayed.
Bulk Email Status Summary
Below the event selector is a summary dashboard that provides a quick overview of your bulk email activity.
Batches
Displays the total number of bulk email campaigns created.
Total Emails
Displays the total number of email recipients across all displayed batches.
Sent
Shows how many emails have been successfully delivered.
Failed
Shows how many emails were unable to be delivered.
These totals automatically update based on the filters you apply.
Filter by Status
Use the status filters to quickly locate specific bulk email campaigns.
All
Displays every bulk email batch.
Queued
The bulk email has been created and is waiting to begin sending.
Processing
Emails are actively being sent.
For smaller batches, this status often only lasts a few seconds. Large email campaigns are processed in controlled batches to improve deliverability and reduce the chance of provider rate limiting.
Completed
The bulk email batch has finished processing.
A completed batch does not necessarily mean every email was successfully sent or delivered. Review the Sent and Failed totals for the final results.
Failed
Displays batches that encountered an error before being sent.
⚠️ Important Notes on Completed Email Sends
An email will be marked as completed if it has successfully been sent by our system. It is still possible for the email delivery to ultimately fail, and not be received by the vendor for a number of reasons.
Failures that appear to be successful may occur because of:
- Invalid email addresses
- Mail server rejections
- Temporary delivery issues
- Other provider-specific delivery errors
- Email arriving in junk/spam folder
Viewing Bulk Email Batch Details
Click the View button in the Action column to open the detailed status window for a specific bulk email campaign.
This window provides additional information about the selected batch, including processing statistics, timestamps, and failed email records.
Batch Information
At the top of the window you'll find:
- Status – The current processing status in a colored bubble ("Completed" in the example above).
- Email Subject – The subject line of the bulk email.
- Batch ID – A unique identifier that can be provided to EventHub Support when troubleshooting.
Email Summary
The summary cards provide the current totals for the selected batch.
- Total – Total number of recipients.
- Sent – Successfully sent emails.
- Failed – Emails that were not sent from our server.
- Queued – Emails waiting to be processed.
- Processing – Emails currently being sent.
Processing Timeline
The timeline displays when the bulk email moved through each stage of processing.
- Created – When the bulk email was generated.
- Started – When email processing began.
- Completed – When processing finished.
Failed Emails
If any emails fail to send, they will appear in the Failed Emails section along with the total number of failed recipients.
If no delivery issues occurred on our server's end, the page will display:
No failed emails found for this batch.
Refresh
Click Refresh to retrieve the latest processing information without closing the window.
Close
Click Close or the X in the upper-right corner to return to the Bulk Email Status page.
Refresh
Click the Refresh button on the Bulk Email Status page to retrieve the latest processing status for all bulk email campaigns.
This is especially useful while a campaign is actively sending.
Best Practices
- Refresh the page while large campaigns are processing.
- Verify the Sent and Failed totals after each bulk email.
- If a batch remains in Queued or Processing longer than expected, refresh the page before contacting support.
- Review failed email records to identify invalid or undeliverable email addresses.
Frequently Asked Questions
Why does my bulk email show "Queued"?
The bulk email has been accepted and is waiting its turn to begin sending.
Why is my bulk email still "Processing"?
Large email campaigns are intentionally sent in controlled batches to improve deliverability and avoid provider rate limits. A small delay in sending can help avoid your emails getting flagged and ending up in your vendor's junk folder.
Why does a batch show "Completed" but not every email was sent?
Completed means processing has finished. Review the Sent and Failed totals to determine whether any emails could not be delivered. An email will be marked as completed if it has successfully been sent by our system. It is still possible for the email delivery to ultimately fail, and not be received by the vendor for a number of reasons.
Why should I use Refresh?
The page does not automatically update in real time. Clicking Refresh retrieves the latest delivery progress and processing statistics.
Need Help?
If a bulk email remains in Queued or Processing for an extended period, or you notice an unusually high number of failed emails, please contact EventHub Support and include:
- Event name
- Email subject
- Batch ID
- Screenshot of the Bulk Email Status page or Batch Details window
Providing this information will help our team investigate and resolve the issue as quickly as possible.
