Important: Payment Impact When Modifying Orders
Before making any changes, it’s important to understand how this affects payment.
If you modify an order before it has been approved, and the exhibitor had already preauthorized payment, that authorization will be voided. The pending hold will drop from their bank statement.
This process can take up to 7–10 business days, depending on the exhibitor’s bank.
If payment is still required after the modification, the exhibitor will need to resubmit their payment.
Access the Order
If you need to make changes to an order, simply click the Order # link in the Order Summary to get started.
Select Modify Order from Invoice
This will take you to the order invoice where you can select Modify Order
Modify Order Details (Step 1)
You will be taken to Step 1 of the modification process. Here you can:
- Change booth type
- Update pricing
- Adjust the quantity of booths
- Add or remove add-ons
Once finished, click “Go to Next Step” in the bottom right corner.
Review & Payment (Step 2)
On the Order Summary page, you can review your changes and:
- Apply a promo code
Order Status After Order Changes:
The order status on your view will change to Pending Exhibitor Confirmation, requiring the exhibitor to review and accept the changes.
Exhibitor Notification & Next Steps
The exhibitor will receive an automated email notification with general details prompting them to log in and review the order changes made by [enter events name].
It is your responsibility to communicate directly with them and give a heads-up with your own message explaining the updates as you see fit.
Once notified, the exhibitor will:
- Log into their EventHub account
- Go to their order for your event
- In Step 1, click Confirm Order Changes if they accept the updates
- In Step 2, complete payment if required:
- If online payments are enabled (e.g., credit card), they can pay there
- Or follow offline payment instructions, depending on your setup
Until the order changes are confirmed by the exhibitor, the exhibitor will not have access to the payment or paperwork sections.
Exhibitor Permissions for Order Changes
Please note: Exhibitors can only modify add-on and apply a promo code. Any other changes must be made by the organizer.
